Privacy Notice

How Derwent FC handles website enquiries

Draft for club review before publication. This notice describes the website’s current email-based enquiry forms. Derwent FC should check and approve it, including retention periods and the appropriate UK GDPR lawful basis, before launching publicly.

Who to contact

Derwent FC can be contacted at derwentfootballclub@yahoo.co.uk.

Information you may provide

Registration enquiries may include a player's name, date of birth, preferred team, parent or guardian contact details, football experience and a message. Other enquiries may include names, email addresses, telephone numbers and details of an enquiry.

Why the club uses this information

To respond to enquiries about joining a team, volunteering, sponsorship or club activities, and to arrange relevant follow-up. Information about children should only be requested when necessary and handled with particular care.

How website forms work

At present, the website’s forms open your email application with a prepared message. Nothing is automatically submitted by the website itself. You must send the email to complete the enquiry. Your email provider and the club’s email provider may process the resulting message under their own privacy terms.

Who may see your information

Relevant authorised club officials may handle enquiries. The club should not publish submitted details on the website.

How long information is kept

Derwent FC needs to confirm and publish its retention schedule. Personal information should not be kept longer than necessary for the purpose collected.

Your rights

You may contact the club to ask about access, correction, deletion or other applicable UK data protection rights. You may also contact the UK Information Commissioner’s Office (ICO) if you have concerns about how personal data is handled.

Website links and external services

Links to Facebook, the Club Shop, FA Full-Time and maps open external services that have their own privacy practices.

Safeguarding

For welfare or safeguarding concerns, visit the Safeguarding & Welfare page. Please do not include sensitive safeguarding details in a general registration or volunteer enquiry.
